Monthly routine

Aivie does most of the work by itself, but a short routine each month keeps the results good and the allowance in check. We recommend the checklist below. It follows the order of the month: first what the run made, then what the pages did, then what to prepare for the next run.

After the monthly run

  1. Check that the run happened. Open Ideas: the pages of the month appear there as cards with their idea group and creation date. If nothing was made, look at the Umbraco log, or press Auto generate yourself. See Background jobs.
  2. Check that the run made what you expected. A group that shows 0 under Ideas this month:, or a run that made fewer pages than planned, has a reason in the log. See Fewer ideas than expected.
  3. Go through the planner and review the new pages before their day comes. See Reviewing before publishing.

Follow the results

  1. Open Keywords and press Run task. Aivie does not update the figures by itself: the positions, impressions and pages come from Search Console, and the volumes from DataForSeo, but only after you run the task. The line starting with Data from shows the period the figures cover.
  2. Look at Current Position, Impressions and Found for the keywords of your idea groups, and at the filter Ranked for the keywords that already have a page in the search results. We recommend comparing with last month, and giving a new page some time before you judge it.
  3. Open Found for a keyword to see which of your pages Google shows, and use Edit to improve a page that ranks lower than you hoped.

Prepare the next month

  1. Add new keywords. Every new keyword counts against the monthly keyword allowance, and deleting a keyword does not give its place back. See Limits.
  2. Look at your datasources. Aivie crawls them on a schedule, so you do not have to. Check Last crawled and Times crawled to see that each site is still being read, and remove the sites that are no longer useful, which also gives room under the source limit. See Datasources.
  3. Adjust your idea groups before the next run: add keywords, fill in an End date for a topic that is finished, and create the groups for new topics. A group you create after the run waits for the next one, unless you press Auto generate. See Building good idea groups.
  4. Close the ideas you have dealt with, with the lock icon on the Ideas tab, so the open list shows only what still needs attention.

Look at your allowance

Open Subscription under Account to see how much of the month you have used: the bars for Keywords, Pages and Extra sources, and the period they belong to. The counters start again at 0 at the start of each calendar month. If you regularly run out before the month is over, consider a larger package. See Subscription and usage and Changing package.

While you are there, look at the status of the AI connection. A notice at the top of every Aivie screen also tells you when the licence needs attention, for example when it is about to expire. See Licence statuses.
