Roles and access

Access to Aivie runs through Umbraco user groups. Aivie sets up three groups for you, so that you only have to add people to them. This page explains what each group can do and how to give someone access.

The three groups

Aivie creates these groups the first time the site starts with Aivie installed. You find them in the Users section, under User Groups.

GroupAccess toWho is in it at the startFor
Aivie-adminThe Aivie sectionEveryone who is an Umbraco administrator at that momentPeople who set up and manage Aivie.
AivieThe Aivie sectionNobodyPeople who use Aivie every day: keywords, ideas, planner and chat.
Umbraco AIThe Umbraco AI section, with Agents, Contexts and ProfilesNobodyPeople who maintain the AI side, for example the instructions of an agent.

Aivie only creates a group that does not exist yet. It never changes the members or the sections of an existing group, so who is in a group is always your choice, and a restart does not undo it. There is one exception, on the first start: if no group has access to the Aivie section yet, Aivie gives that access to the Umbraco Administrators group, once. You may rename a group. Aivie recognises its groups by their alias, which you should not change: aivieAdmin, aivie and umbracoAi.

Being an Umbraco administrator does not make you a member of Aivie-admin. The administrators were added once, when the group was created. Someone who becomes an administrator later has to be added to the group by hand.

A group that has access to the Aivie section but is not Aivie-admin gets the same as the group Aivie. Parts you may not use are left out of your sidebar.

Aivie does not rely on hiding alone. The server refuses the setup, the settings, entering or validating a licence key, changing the packages of a partner and the connection test for anyone who is not in Aivie-admin. It also refuses the chat and the image button for anyone without access to the Aivie section.

The chat and your Umbraco rights

Two things decide what someone can do in the chat. Access to the Aivie section decides whether the person has the chat at all, and it works the same for Aivie-admin and Aivie. In Aivie's tools in the chat, the person's own rights in Umbraco apply: the sections Content and Media, the start nodes, the permissions per page and the languages. Aivie adds no rights of its own to this, and being in Aivie-admin gives no extra rights in the chat. An editor who may not publish in Umbraco cannot publish in the chat either, and the page search and Search media leave out pages and media that the editor may not read. To change what someone can do in the chat, change their user group or start nodes under Users. See The assistant follows your Umbraco rights.

Give someone access

  1. Open Users and choose the user.
  2. Add the group Aivie for everyday use, or Aivie-admin for a person who sets up and manages Aivie. Add Umbraco AI as well if the person maintains agents, contexts and profiles.
  3. Save. The user may have to reload the backoffice or sign in again before the section appears.

The setup wizard has a second way. In the box Who can access Aivie you tick groups that should get access to the Aivie section. The wizard only adds access and never removes it. To take access away from a group, change that group under Users → User Groups. See Setup wizard.

A group of your own needs access to the Aivie section before its members see Aivie. Open the group under User Groups and tick the Aivie section under Sections.

If a user is in the right group and still does not see the section or a screen, see Missing screens.
